A plain-language explanation of what Smart Jobs keeps, why it is needed, and the controls available to every user.
What Smart Jobs stores
Smart Jobs stores your sign-in identity, whether you use email, Google, or Apple, your access and storage status, and the records you choose to enter. Records can include clients, jobs, locations, estimates, payments, invoices, time entries, expenses, connected financial institution and account names, account type and last four digits, balances, imported transaction details, transaction categories and customer or job assignments, manually entered account balances, bill schedules and payment history, receipt images, workers, daily performance ratings, check images, W-2 forms, contracts, and other uploaded documents. For worker portal members, Smart Jobs also stores the membership link, assigned projects, schedules and responses, project photos and album details, invitation records, and manual arrival timestamps.
Bank connections and account balances
If you choose Connect bank, Plaid handles the financial-institution sign-in and permission screen. Smart Jobs does not receive or store your bank username, password, security code, full account number, or full card number. Smart Jobs stores a restricted connection token only in protected server infrastructure and uses it to retrieve the account and transaction information you authorized. Bank Feed is read-only: it does not initiate transfers or payments. You review each transaction before Smart Jobs creates an expense or payment record. Manually entered balances and bills continue to work without a bank connection.
How the information is used
Your information is used only to provide Smart Jobs features: organizing your business, importing and categorizing authorized bank activity, connecting a transaction to a customer and/or job, calculating dashboards and receipt allocations, producing exports, synchronizing devices, recovering backups, enforcing storage limits, protecting access, and showing workers the projects and schedules assigned to them. Receipt text recognition runs on your device or in your browser and is not sent to a paid OCR provider.
Storage and service providers
Smart Jobs uses Firebase services from Google for authentication, private database records, file storage, server functions, synchronization, abuse prevention, and owner notifications. Plaid provides the optional bank-connection and transaction-data service. The website is delivered through OpenAI Sites. These providers process limited information needed to run the service under their own security and privacy terms.
Worker access and project photos
A worker sees only a limited project summary, approved room albums, assigned crew names, and that worker’s schedule for projects with an active assignment. Worker accounts cannot open client contacts, quotes, payments, expenses, invoices, payroll, evaluations, emergency contacts, or employment documents. Removing an assignment or closing a project blocks further worker access and uploads while preserving owner records and photo attribution.
Arrival and messaging
“I’m here” stores the time the worker manually taps the button. Smart Jobs does not request GPS permission, collect precise or background location, or infer arrival from device movement. “Message worker” hands a prepared draft to the device’s normal SMS app; Smart Jobs does not send the message automatically or retain the SMS conversation.
Separation and security
Every approved business account has a separate private data area. Worker permissions are bound to the verified email, Google, or Apple account that claimed a one-time invitation and are checked for each project. Files remain private, access-controlled, and never receive public download links. No system can promise absolute security, so protect your device and sign-in account and upload only records you are authorized to keep.
No advertising or sale
Smart Jobs does not sell business or personal information, run behavioral advertising, or use third-party advertising trackers. Data is not shared except to operate the service, follow your instruction, protect the service, or comply with law.
Retention, export, and deletion
Records remain until you delete them or delete your account. Disconnecting a bank removes Smart Jobs’ Plaid connection token and stops future imports; expenses and payments you previously approved remain as business records until you delete them. Settings includes a data export and a complete account-deletion action. Account deletion asks Plaid to remove active bank connections and removes Smart Jobs database records, stored files, access metadata, and the authentication account unless retention is legally required. Local copies and backups are removed according to the device and provider backup lifecycle.
Your choices
You may connect or disconnect a financial institution, ignore imported transactions, correct records, remove individual records and attachments, export your account, revoke device permissions, sign out, or delete the account. You can also manage connections and data-sharing permissions through Plaid’s consumer tools. Workers may flag an incorrect confirmed upload for owner review; owners control moving, renaming, or deleting confirmed project evidence. Contact support if you cannot complete one of these actions.
